Maintenance and Repair Services
Fleet Services is committed to maintaining the reliability, safety, and longevity of all university-owned vehicles by providing routine, scheduled maintenance services. These services are carried out either through the University of Arizona’s on-campus Maintenance & Repair Services or through a pre-approved, contracted vendor. Scheduled maintenance is essential not only to comply with safety and operational standards, but also to extend the lifespan of the vehicle and reduce the likelihood of unexpected mechanical failures. It is the responsibility of each department to ensure that all vehicles under their purview are maintained in accordance with the established service schedule. Adhering to this schedule supports a healthy vehicle life cycle and helps avoid costly repairs or downtime that can interfere with university operations.
PM-A Service (To be completed every 5,000 miles or 12 months, whichever comes first):
- Visual inspection
- Change oil and filter
- Inspect tires and adjust tire pressure
- Rotate tires as needed
- AC/Heating system
- Windshield wipers and washer system
- Interior and exterior lighting
- Air filter and cabin air filter
- Belts and hoses
- Suspension system
- Exhaust system
- Steering components
- Brake pads
- Check and fill all fluid levels
- Emissions testing (if due)
It is the responsibility of the department to have necessary repairs performed on any university vehicle. Needed repairs should be reported to Maintenance and Repair Services. Maintenance and Repair Services will either perform the services or outsource through a contracted vendor. If for any reason a university contracted vendor is not available, services may be provided by a ASE-certified vendor or university professional and related invoices and any other repair documentation and information must be submitted through the Maintenance/Repair Form (Outside Vendor).

Annual Safety Inspections
The State of Arizona and Arizona Board of Regents requires all university-owned vehicles to undergo an annual vehicle safety inspection. This inspection is to be performed by Maintenance and Repair Services or a qualified inspection facility that employs ASE-certified mechanics. This inspection requirement applies to all vehicles, trailers, golf carts, leased and USDA vehicles. Safety inspections performed by Maintenance and Repair Services will include all services provided in a PM-A service, in addition to:
- All tasks on Safety Inspection Sheet
- Change air filter and cabin air filter
- Check manufacturer recommended services
Emissions on gasoline vehicles are required and can be performed by Maintenance and Repair Services for a nominal fee. The vehicle year and weight will determine if testing is required annually or biennially (contact Maintenance and Repair Services for more information).
- It is the responsibility of each department to ensure that all vehicles are inspected on their annual inspection date. (Check the Emissions Certification sticker on the vehicle for the expiration date).
- If the vehicle is due for its first emissions testing, have it performed on the anniversary date of the vehicle’s purchase. Fleet Services and the U of A Garage can verify the annual inspection date for all vehicles that have had their emissions testing performed here.

If your department decides to have your vehicle inspected with an outside vendor other than Maintenance and Repair Services, the vendor is required to complete a Maintenance and Repair Service vehicle inspection form. You may request a copy of this form by calling (520) 621-3530 or emailing PTS-UAG@arizona.edu. It is the department’s responsibility to notify Fleet Services of the passing inspection by providing all of the documentation within 48 hours of the completed test. All documentation must be submitted through the Maintenance/Repair Form (Outside Vendor).
The U of A Garage is not equipped to test diesel vehicles at this time. It is the department’s responsibility to get all diesel vehicles tested and to provide the appropriate documentation to Maintenance and Repair Services. Emissions testing fees are the same for all vehicles: $12.25. Prepaid vouchers for emissions testing are available and can be obtained by calling Maintenance and Repair Services at (520) 621-3530. The voucher will be billed to the vehicle on a U of A Garage work order.
Mobile Golf Cart Maintenance Service
The university’s Maintenance and Repair Services team will provide routine maintenance and offer monthly and annual service checks to ensure your golf cart fleet operates smoothly and efficiently for an annual fee.
Our comprehensive golf cart maintenance service includes, but is not limited to:
- Cleaning and checking battery cables
- Battery fills
- Tire inflations
- Visual inspections and more.
Once serviced, each golf cart will receive a tag indicating the completed service date. In addition, all maintenance records, including the date and services performed, will be entered and securely stored in our fleet management system for easy tracking and reference.
Golf Cart Repairs
It is the responsibility of the department to have necessary repairs performed on any university golf cart. Repairs should be reported to Maintenance and Repair Services. Maintenance and Repair Services will either perform the services or outsource through a vendor. If for any reason a university contracted vendor is not available, services may be provided by a ASE-certified vendor or university professional and related invoices and any other repair documentation and information must be submitted through the Maintenance/Repair Form (Outside Vendor).
